How to Set Up White-Labeling for Your Agency
Learn how to create a fully branded proposal experience for your clients. Custom domains, logos, colours, and more.
When clients receive a proposal from your agency, the experience should feel like an extension of your brand—not a third-party tool. White-labeling in Closed allows you to customise every aspect of the proposal experience, from your domain to your colours.
What is White-Labeling?
White-labeling removes all Closed branding from your proposals and replaces it with your own. This includes:
- Custom domain: Proposals are hosted on your domain (e.g., proposals.youragency.com)
- Your logo: Appears in the proposal header and emails
- Brand colours: Buttons, links, and accents match your brand
- Custom email sender: Emails come from your domain, not ours
- Favicon: Browser tabs show your icon

Step 1: Set Up Your Custom Domain
The first step is connecting your custom domain. This is where your proposals will be hosted.
- Choose a subdomain: We recommend something like
proposals.youragency.comordocs.youragency.com - Add DNS records: Navigate to Settings → White Label → Custom Domain. You'll see the DNS records to add to your domain provider.
- Verify the domain: Once DNS propagates (usually within a few hours), click "Verify Domain" to complete setup.
- Enable SSL: We automatically provision an SSL certificate for your domain. This happens automatically after verification.

Step 2: Upload Your Logo
Your logo appears in multiple places: the proposal header, notification emails, and the proposal viewer.
- Go to Settings → White Label → Branding
- Upload your logo (PNG or SVG, recommended size: 200x50px)
- Upload a square icon for favicons (PNG, 512x512px)
- Preview how it looks in both light and dark contexts
Step 3: Customise Your Colours
Match the proposal interface to your brand colours.
- Primary colour: Used for buttons, links, and key UI elements
- Accent colour: Used for highlights and secondary actions
- Text colours: Customise heading and body text colours
Enter your hex codes or use the colour picker. Changes preview in real-time so you can see exactly how proposals will look.
Step 4: Configure Email Settings
For the most professional experience, emails should come from your domain.
- Sender name: Set the "From" name that appears in clients' inboxes (e.g., "Your Agency Name")
- Reply-to address: Where client replies are sent
- Custom email domain (optional): Send from your own domain by adding SPF and DKIM records
Tip: Setting up a custom email domain significantly improves deliverability and ensures emails don't land in spam. We recommend this for all agencies.
Step 5: Test Your Setup
Before sending proposals to clients, test everything:
- Create a test proposal and send it to yourself
- Check that the domain, logo, and colours appear correctly
- Verify emails come from the right sender
- Test on mobile to ensure everything looks good
Common Issues
Domain verification failing
DNS changes can take up to 48 hours to propagate. If verification fails, wait and try again. You can use dnschecker.org to confirm your records are live.
Logo appears blurry
Upload a higher resolution image (at least 2x the display size). SVG format works best for logos as it scales perfectly.
Emails going to spam
Set up a custom email domain with proper SPF and DKIM records. This authenticates your emails and improves deliverability.
